Admissions Director/Operations Manager

Location: Lewiston, Maine

Provides organizational and financial management, communications and administrative support for all aspects of the Bates Dance Festival. Areas of particular emphasis include adjudicating student applications (400+/year), communicating with applicants and their families, and creating and implementing administrative systems for the smooth running of the Festival. Additional responsibilities include adjudicating scholarship applications, supervising student assistants and interns, managing the annual solicitation campaign, management and upkeep of all computer data, and collaborating with the Festival Director to support faculty, staff, visiting artists, and training program needs.

ESSENTIAL JOB FUNCTIONS

Admissions/Registrar and Applicant Support: (a) reviews, processes and registers students to all three Festival training program, (b) determines appropriate class placement and manages course enrollment, (c) manages paper and electronic records for all applicants, (d) assists with scholarship and intern selection, (e) interfaces with information and technology support staff to manage online registration and payment processes, (f) updates and manages web-based registration materials, (g) interfaces with College Registrar to provide college credit when requested, (h) assists with student travel, housing and orientation.

Staff Supervision: (a) interviews, hires, trains and supervises student administrative assistants during the academic year, (b) trains and supervises administrative interns and supports additional professional staff during the summer Festival.

Program Management: (a) assists with coordination of Festival Community Outreach Projects, (b) develops and manages local community outreach/recruitment efforts, (c) develops and maintains relationships w/local schools and organizations to recruit students (d) recruits students at annual regional high school and college dance festivals, (d) provides administrative support for a cadre of international, professional artists/faculty.

Development and Marketing: (a) manages annual individual solicitation campaign, (b) contributes to copy for brochures, solicitation letters, and performance programs.

Office Management: (a) handles communication with all prospective students, their families, and multiple faculty/artists, (b) manages all financial transactions including student payments, grants and other income (c) provides recordkeeping for the Festival, (d) maintains security and confidentiality of artist, student and donor files and information, (e) interfaces with the College Dance program staff and students, (f) nurtures positive relationships with college and other professional colleagues, artists, students.

Special Projects/Event Support: (a) provides direct administrative support to the Festival Director in the management, administration and delivery of special projects and events

Qualifications

Required

 BA or BFA

 Knowledge of the professional dance and education fields

 Knowledge of data management, Filemaker Pro, Word, Excel, Wordpress programs

 Maintain high professional standard

 Good written and verbal communications skills

 Attention to detail

 Ability to multitask

 Work independently and is self-motivated

 Even tempered and politic

Desired

 Appreciation of the arts (dance particularly)

 At ease in an arts environment of diverse cultures and values

 Social media experience

 Communications experience
